Privacy Policy

Last updated: 8 October 2026

This policy explains how personal data is used when you visit viastudio.io, fill in one of our Tally forms, book a call through our Calendly page, or contact us.

Who we are

Valentyna Dynovska, operating under the VIA Studio brand, is the controller of the personal data described in this policy. This means she decides why and how it is used. "VIA Studio", "we" and "us" refer to her work under that brand; VIA Studio is not a separately incorporated company.

Contact: hello@viastudio.io

The short version

What we collect and why

The legal bases below are those of the EU GDPR and the UK GDPR, where those laws apply. Rights under other applicable data-protection laws are not limited by this policy.

Diagnostic request (Tally form "Brand & Social Diagnostic")

What: your name and email address (required); optionally your business or brand, website, main social profile, current challenges, improvement goals and any further context. Tally also records the time of the submission and which language version of the form you used.

Why: to review your request, discuss next steps and, if you engage us, deliver the agreed diagnostic.

Legal basis: steps you ask for before a contract, or the contract itself (Article 6(1)(b)). If you contact us on behalf of a company, our legitimate interest in handling that company's request (Article 6(1)(f)).

How long: if you do not go ahead, we delete the request within 12 months of receiving it. If you become a client, we keep what the work needs for as long as we work together. Afterwards we keep only what accounting or tax law requires (in Italy, up to 10 years for accounting records) or what is needed for a legal claim.

Payment: the form takes no payment and asks for no card details. Any payment arrangements are explained separately before you pay. Please do not enter card details in a form.

Booking a call (Calendly)

What: your name, email address, the date and time you choose, and the answers you give on our booking page. The booking link can carry a label showing which service or article you came from; it never carries your form answers or email address.

Why: to arrange and hold the call, and to follow it up.

Legal basis: Article 6(1)(b) for steps towards a contract with you; Article 6(1)(f) for business enquiries or contact on behalf of a company.

How long: up to 24 months after the call, unless it becomes part of client work.

Calendly may pass the booking to the calendar and video-meeting services connected to our account. If the call takes place by video, the meeting service named in your invitation processes your participation under its own terms.

Feedback (Tally form "Share your experience with VIA")

What: your name, email address and feedback (required); optionally your role, company or project, a LinkedIn or website link, a screenshot or image, and your choice about publication.

Why: to read and manage your feedback, check it where needed and contact you about it.

Legal basis: our legitimate interest in understanding and improving our work (Article 6(1)(f)).

Publication is optional. The publication checkbox is not required and not pre-ticked; you can send feedback without it. If you tick it, we may publish your feedback on viastudio.io with your name and the role, company, project or link you gave. We never publish your email address or attachments.

Publication basis: your consent (Article 6(1)(a)). You can withdraw it at any time by writing to hello@viastudio.io. We then remove the feedback from our pages. Withdrawal does not affect publication before it. Copies made independently by others are outside our control.

How long: unpublished feedback is deleted within 12 months of submission. Published feedback stays until you withdraw consent or we remove it; the contact details and attachments behind it are kept for up to 12 months after submission. We keep a short record of your permission or withdrawal as proof.

Please leave other people's details and confidential material out of screenshots. Do not send identity documents, health information, passwords or card details through these forms.

Messages and form notifications

What: what you send us by email or through the social and messaging services linked on the site. If email notifications are switched on, we also receive Tally submissions at hello@viastudio.io; a copy of your answers is then also kept in our mailbox.

Why: to answer you and manage your enquiry or feedback. Our email runs on Apple iCloud Mail.

Legal basis: Article 6(1)(f), our legitimate interest in answering correspondence; Article 6(1)(b) where a contract with you, or steps you ask for before one, require it.

How long: correspondence is kept for up to 24 months after the last contact, unless client work or a legal obligation needs it longer. Copies of form answers in our mailbox follow the period of the form they came from.

The messaging platform you choose also processes your message under its own terms.

Visiting the website

What: the technical data needed to serve each request: IP address, time, browser and device information, and the page or file requested.

Why: to deliver the website, fix faults and protect it from abuse. The website is hosted by Vercel.

Legal basis: Article 6(1)(f), our legitimate interest in a working and secure website.

How long: for the short period set by Vercel for our hosting plan. We do not use these records for marketing or profiling.

Fonts and images are served from our own website. No Google Fonts, Unsplash, Tally or Calendly resources load automatically.

Who else receives your data

Provider Role Location
Tally BV (Belgium) hosts the Diagnostic and Feedback forms and stores the submissions and attachments, as our processor form data stored in the EU; notification emails sent through its email provider in the United States
Calendly LLC (United States) booking calls, as our processor United States
Vercel Inc. (United States) hosting the website United States
Apple (iCloud Mail) our mailbox under Apple's terms

The social or messaging platform you choose to contact us through also receives what you send there. If you allow publication of your feedback, website visitors see what is published.

We do not sell your data. We disclose it only where the law requires, or where necessary to establish, exercise or defend legal claims.

International transfers

Some processing takes place outside the European Economic Area and the United Kingdom, including in the United States:

Write to hello@viastudio.io for more detail about these safeguards or a copy of them.

Cookies and similar technologies

Our website sets no cookies and stores nothing in your browser's storage (no localStorage, sessionStorage or IndexedDB). It loads no analytics, advertising or third-party content. That is why there is no cookie banner: there is nothing to accept or refuse.

Your browser may keep its normal cache of page files, such as images, fonts and scripts, to show the site faster. This is not a cookie and contains no identifier.

When you click a Tally, Calendly, social-media or other external link, you go to that service's website, and its own cookie notice applies there.

If we ever add technologies that need your consent, we will ask for it before using them.

Your rights

Where the applicable law gives you these rights, you can ask us for:

Objection: you can object, on grounds relating to your situation, to processing based on our legitimate interests.

Withdrawing consent: you can withdraw your permission to publish feedback at any time. This does not affect what happened before.

Write to hello@viastudio.io. We reply without undue delay, and normally within one month. If we need longer, as the law allows, we tell you why within that month. We may ask for information needed to confirm your identity.

You can complain to a data protection authority without contacting us first:
